When Family Gatherings Feel Like Work, Try a Luxury Picnic Twist This Friendsgiving

In just a couple weeks we’ve got a dozen or so friends and family flying in to celebrate the holidays with us. During that time we’ll celebrate a birthday and engagement in between all of the traditionally busy Christmas-time hullaballo. I don’t know what kind of character trait causes one to be organized when doing for others and then turns you into a puddle when doing those exact same things for yourself (or your own family)—but I’ve got it, bad. I find that slipping into the role of travel agent, hostess, and event planner all at once to be too much for me most times.

In honor of the chaotic mess I started to overwhelm myself with planning, today’s post will give a few tips on reeling it in. And in this case it would include budget, expectations, schedules, and organization.

Selecting The Setting

Imagine this: instead of rushing to prep the dining room table, you and your chosen family arrive at a cozy outdoor setup, styled with fall colors, twinkle lights, and cushioned seating. Blankets and pillows invite everyone to stay warm while the low table is laid out with seasonal grazing boards. Suddenly, “holiday hosting” doesn’t feel like another chore on your list — it feels more like a memory in the making.

To get myself together I started with a vision board. As I was getting my visuals aligned in my mind and trying to translate them into a collage, it clicked for me: family events don’t have to fit a mold. I was envisioning a relaxing event, outdoors and low-key, simple and beautiful. All too familiar to me—I was envisioning a luxury picnic.

Outside of being accessible to everyone, you can pretty much hold your family event any place you want! Think about the ability to house and seat everyone you are expecting. Consider all ages and the needs that they might have to feel invited and comfortable. How can you make the space feel cozy? How will you get important luxuries like shade, rugs, cushions, and blankets there? This might help you get started on choosing between backyards, local parks, or a scenic beach venue.

Planning Within The Budget

I’ll admit it — the holiday season already stretches the budget more than I’d like. Between gifts, travel, and food, who wants another big expense? But part of the beauty of a luxury picnic is flexibility. They’re scalable, so you can choose exactly what you want to include. It’s not about overspending; it’s about investing in a memory that feels special without draining you financially.

Lucky for you, a luxury picnic is an easy way to assign potluck-style menu dishes or stay on track if you’re preparing everything yourself. Because it’s a picnic, no one will be expecting a 6-course spread. Set up your picnic with fun sandwich options, charcuterie boards, and snack trays. Variation will be the key to this. You want to make sure everyone has options and can fill up. The ability to snack will save you here.

Re-purposing items from your home or utilizing second-hand pieces are also a great way to save. Renting dishes or tools may also be more cost effective and less wasteful and consumery of you too. Think about it.

Your Family Picnic Menu

This one’s easy, like I mentioned a moment ago. Put your own picnic spin on the menu for this event in as many creative ways as you want to. Have others help where possible—one person can just be on the cheese board while another does a meat and protein board and the third takes on fresh fruits and veggies. When planning the menu, think about the eldest person in attendance and what they could enjoy. Remember your location and any challenges that might arise for the food ideas you are considering. You’ll need to keep correct temperatures and protect from pests.

Signature drinks would be a fun surprise that could be easily implemented. You could try a favorite color, past story, or flavors that speak to someone. Don’t forget sparkling juices, punch, or mocktails for those not consuming alcohol. Nothing worse than feeling like an afterthought and only having water to drink.

You could also serve special boards up for the kiddies. Corn dogs, nuggets, hot dogs, nut butter and jelly, tuna salad sandwiches—things like that would be fun and not feel too stuffy.

Design and Decor

One of my pet peeves with seasonal events is how often they all look the same — the same pumpkins, the same fake leaves, the same “Grateful, Thankful, Blessed” signage. 🙄 It starts to feel a little uninspired. That’s why I personally try to steer clear of generic fall decor and instead curate details that reflect your group. Whether it’s your family’s favorite colors, a Friendsgiving theme inspired by travel, or a more minimal, elegant palette — we tailor the experience to you. A few ideas to help you do the same:

  • Try a fun twist on seasonal colors. Keep them traditional but add a pop of some neon shade your cousin has always loved.
  • Switch it with your attention-getters. This year, try a great banner or some personalized name cards that give a nod to your family name.
  • Set up photo-worthy table styling by making sure it suits everyone and from every angle.
  • Include soft and meaningful touches like lanterns, fairy lights, or a shared family playlist.
  • Opt for decorative items that can serve a purpose while looking cute, like fun wine glass name labels that match your theme.

Activities & Entertainment

I beg you, leave down time built into your itinerary. Schedule loosely when it comes to activities. This way, those sticklers for time can have their fill of structured plans, and the loosey-gooseys can join in as they please, too. Gentle reminder, the focus should be on memory-making.

Prepare a handful of simple activities and games for the kids. Prep a coloring or puzzle area for when they need to chill out. Set up a simple scavenger hunt that will work for the age groups you might need to span across. Outdoor crafts will also hold a lot of attention for a good amount of time. Bubbles, sidewalk chalk, and water games are always a hit. Just confirm that these won’t get out of control or mess up any nicer clothing.

Depending on the crowd you’ve got, you may also want to plan a couple of competitions or activities for the adults. Relay races are cool and all but everybody might not be into getting all sweaty. Try to keep a mix of both active and low-impact as you prepare your activities. A solid game of bingo can really leave a group feeling fulfilled in the end.

Making It Feel Personal and Memorable

Luxury here means thoughtful, not complicated. Personalize mini keepsakes for everyone to take home, or incorporate family photo favors with handwritten notes. Focus on the feeling rather than the utility and you can’t go wrong. Share a toast and make sure that the activities you choose will suit plenty.

In case you are wondering, I did end up cleaning up my plans for our family’s visit in the end. It was an off-hand comment from my husband that reminded me that 1. I needed to calm it down and 2. People pay me to do this for them. So it’s both not hard for me and a quasi-hobby I actually enjoy.
